The Role

The Senior Stores Officer will be responsible for managing a diverse inventory ranging from packaging materials, spies, fuel and hygiene chemicals to specialized engineering spares for our plant.

Key Responsibilities:

  • Maintaining accurate and up-to-date inventory records for all materials, supplies, consumables, and assets.
  • Implementing and monitoring stock control procedures to prevent shortages, overstocking, and discrepancies.
  • Conducting regular stock counts (daily, weekly, monthly, and annual physical inventories) and reconciling differences promptly.
  • Overseeing the receipt of all delivered items, ensuring quantities and specifications match purchase orders and delivery notes.
  • Coordinating with Procurement on any discrepancies, damaged items, or supplier-related issues.
  • Ensuring all goods are inspected for quality and compliance before acceptance.
  • Preparing Goods Received Notes (GRNs) and updating inventory systems accordingly.
  • Implementing labelling, coding, and bin-location systems for efficient warehouse organization.
  • Implementing and maintaining robust inventory control systems (LIFO/FIFO).
  • Managing the timely issuance of items based on approved requisitions.
  • Ensuring proper documentation of all issued materials with accurate stock adjustments.
  • Maintaining complete and accurate documentation for all store transactions (receipts, issues, returns, adjustments).
  • Generating periodic inventory reports (daily/weekly/monthly) for management review.
  • Supporting internal and external audits by maintaining transparent and traceable records.
  • Providing real-time inventory data to Procurement to support informed purchasing decisions and communicating low stock levels and upcoming replenishment needs.
  • Ensuring safe handling, storage, and disposal of materials following safety guidelines.
  • Providing training, performance monitoring, and guidance to store personnel.

Key Requirements

  • Diploma or Degree in Purchasing & Supply, Warehousing, or any related field.
  • 5 years of experience in store or warehouse operations (FMCG environment will be an added advantage)
  • Prior experience in a supervisory role preferred
  • Strong analytical thinking, excellent communication, and the ability to work under pressure in a fast-paced environment.
  • Computer literacy
  • Attention to detail and organization skills
  • Member of ZIPS
